Galleries are groups of images shown on your website. (Services and applications other than PhotoDeck might also call them “albums”, “folders” or “categories”).
Galleries are hierarchical: you can create as many levels of sub-galleries as you wish.
You can also change the URL of a gallery, the gallery thumbnail (“cover”), and add custom text (or an animated header slideshow).
You can publish an image to multiple galleries.
Technically, Galleries are the same as Collections, except that they are published to your website, so they share many features. (Collections are there to help you organize your archive, they are not visible on your website)
The Gallery access protection options are under the “Client Access” tab, if your subscription level allows it.
A hidden gallery will not be publicly listed on your website. For your clients to find the gallery, you will need either to send them the link to the gallery, or alternatively, to require them to have an account and log in.
Note that hidden and protected galleries are not indexed by Search Engines.
If you define a general password, anybody knowing it will be able to access the gallery.
As an alternative to the general password, you can require clients to log in onto your website. They will need to open a personal Client Account, if they haven’t already got one.
Once they log in onto your website, the shared gallery will appear in their dashboard, so you don’t need to send the gallery link separately — simply ask them to register or to log in!
When you create a new gallery, we present you with a few presets to speed up your workflow. Pick the preset closest to what you need, and if required, adjust the settings once the gallery is created! (You can change all settings at any time).
| Preset | Display style | Access settings |
|---|---|---|
Public galleryDefault preset for standard, public galleries (e.g. public archive or stock galleries) | “Standard” display style. (You can edit the display styles via the gallery settings) | The gallery is NOT hidden, no download is enabled. |
Public gallery (Portfolio style)Same as default gallery, but with Portfolio display style. Ideal for portfolio displays. | “Portfolio” display style. (You can edit the display styles via the gallery settings) | The gallery is NOT hidden, no download is enabled. |
Private gallerySame as default gallery, but hidden. Ideal for private ecommerce galleries. | “Standard” display style. (You can edit the display styles via the gallery settings) | The gallery is hidden, no download is enabled. |
Simple Client DownloadIdeal to send high-res images to a client | “Proofing” display style. (You can edit the display styles via the gallery settings) | The gallery is hidden, with 1-click download enabled. You can add a password to the gallery via the gallery’s Access settings. |
Proofing & ordering galleryFor proof-order-retouch-deliver scenarios: recommended when working with professional clients, and when images must be selected before their final versions can be prepared and delivered. | “Proofing” display style. (You can edit the display styles via the gallery settings) | The gallery is hidden, with Download via Cart enabled. You can add a password to the gallery via the gallery’s Access settings. |
Since galleries work exactly like collections, you can automatically import images into galleries.
For example, you can create a gallery called “animals”, and automatically import all images that match the search on keywords “animal OR insect”:
Note: By default, Images are checked for automatic import upon upload or keyword changes. Check the box “Rescan whole library and import matching images” to check at once all images in your collection against the keyword search criteria.
For more details, see Collections.
How do you move images out of one gallery and into another without deleting them?
Hey Andy,
To move images to a different gallery:
For single images: in the green “publish” box, just untick the old gallery and tick the new one.
For multiple images: select the old gallery under My Images, select the images and then 1) tick the new gallery in the green Publish box and press Apply, and 2) press “remove selected images from gallery”
How do you change the Gallery photo for another one … I’m sure it is real easy !
Kind regards
Rob
Hello Bob! You will find it directly under the gallery Settings (“cover image”).
Can I delete a gallery, or change its name?
Hey Robin – yes, absolutely! Open the gallery in the “My Images” tab and you will see a few buttons below its title, including “Settings”, where you can rename the gallery, change its cover image, delete it, change its URL, etc…
Do all images that you want to have come up in a search need to be assigned to a gallery that displays?
I ask because I am re-doing my groupings of categories, but would like to quickly get the site set up for use so I don’t have downtime with no site up.
Does it make sense perhaps to have a catch-all gallery (for all images) so that I can quickly load all images and make them findable, and then spend time grouping them or using the automation feature to refine?
Hey Diana, yes, images appear in search results on the website only if they are published in public (non hidden, non protected) galleries. The “catch-all” gallery approach is up to you really – it could indeed be a quick way to get the images up!
I see how in the Settings tab you can rename or re-order a gallery, but I don’t see a button or option to delete a gallery.
Oops sorry–it is way over to the bottom right….
using automation, if a photo drops into first gallery, does that mean it won’t get sucked into other galleries farther down the list?
If the automated action is to publish an image to multiple galleries, the image will indeed appear in all the checked galleries. Is that what you meant?
Enjoying getting to grips with PhotoDeck. You’ve clearly done a great job!
Quick (and probably dumb) question. How do I order sub-galleries within a gallery?
I can set the order of plain images based on there file name, but with lots of sub-galleries it would be useful – essential really – for me to put them into alphabetical order so the appropriate gallery can be found quickly.
Many thanks.
Hello John! To order subgalleries (or galleries for that matter), simply drag&drop them in the left-hand side column in the My Images panel.
Wow that’s a fast response. Many thanks and have a great weekend!
I forget how to view all of the images in one gallery at once while I am in “Manage” mode.
Hi Bethany,
You can view up to 200 images at a time, via the small icon just above the images on the left-hand side.
Is there a simple way, having first created a new gallery, to make it the front page gallery?
Hi Michael,
That is currently not possible and we’re not too sure about why you’d want to do that – what is it you have on your mind?
….just that it took a long time to scroll through all the images on the site to choose which to put in the front page gallery. Or maybe I’m missing something…..can I order the choice of images offered for the gallery by ranking?
…..and the other reason was that I’d find it useful to prepare several front-page galleries in advance, and then be able to switch quickly from one to another every week or so.
Oh I see, you’re referring to the slideshows, right? Good feedback, we do have some room for improvement there…
Has the option to assign a cover image to a gallery changed? I can’t seem to find it under Gallery settings.
Thanks.
Hi Rick,
Look for the “cover” icon on each image thumbnail directly under “My Images & Videos” ;)
Great way to select, thanks!
Rick
When opening my galleries on the website, the thumbnails are all square, therefore if the first image in the gallery is in portrait view and it’s a person – the heads got ‘chopped’ off. How to change the thumbnails to fit automatically to landscape or portrait view of the image?
The thumbnail settings are part of the Gallery Display Styles, accessible via the Settings tab in any gallery.
Hi,
is it possible to have two galleries front pages with different galleries ?
Thanks
Hmmmm… not sure exactly what you mean.
You can have nested galleries, if that answers your question…
I found a way by creating 2 galleries with 0 photos, and then adding different sub-galleries to each upper level gallery.
Then, by creating 2 new menu items with a “link to gallery” type and linking each to one of the upper level galleries I created, I can get two different front pages for galleries.
Is it what you call nested galleries ?
Yep – well done ;)
Can I change the display style ‘globally’ on all my galleries. without having to go through each one?
BPP
You can’t switch display style for multiple galleries at once. But it might make sense instead to edit the Display Style that all these galleries are using?
does anybody know how to define the order of the gallery thumb nails? Not in the gallery itself but the grid of the different galleries. Currently everything is just alphabetical looks terrible.
Simply drag&drop the galleries’ titles under My Images & Videos to reorder them ;)
